Polaris Stichting, a non-profit organization that is registered with the Chamber of Commerce (KvK) and based at Het Gangwerk 53, 1622 HC in Hoorn, the Netherlands, is responsible for processing of personal data as shown in this privacy statement. Ingrid Veling is is the 'Data Protection Officer' (DPO) on behalf of Polaris Stichting. Her task is to monitor compliance with the GDPR and she is your contact within Polaris Stichting for your enquiries, comments, complaints and claims regarding personal data protection.

Polaris Stichting processes your personal data because you use or used our services and / or because you have provided this information yourself. Below is an overview of the personal data we process:

Purpose for processing personal data:
Polaris Stichting processes your personal data. To optimize our services and products, the data can also be used to improve services of Polaris Stichting and to manage the relationship with the Polaris community, collaborators, sponsors and other networks.
Polaris Stichting processes your personal data for the following purposes:

  • To send our advertising brochures and leaflets informing you about our products and services
  • To inform you about changes to our services and / or products
  • To inform you about Polaris events
  • To obtain your feedback regarding Polaris products, services and events
  • To match you with the most suitable mentor / mentee
  • To reconcile payments for Polaris products and services

Polaris Stichting also processes personal data if we are legally obliged to do so, such as information requested for our tax return.
Polaris Stichting does not follow your behavior on Polaris and other websites.
We may use information about you where you have given us consent to do so for a specific purpose not listed above. For example, we may publish testimonials or featured customer stories to promote our services, with your permission.

How long and where we store personal data:
Polaris Stichting does not store your personal data longer than it is strictly necessary to realize the purposes for which your data is collected. For example, we will remove your personal data such as your resume or information regarding you personal and / or business goals twelve months after you have stopped using our services (e.g. mentoring).
We use a (legal) retention period of 7 years for personal and address data, in particular for inspection by the tax authorities.

We use the MailChimp program for sending invitations and newsletters, Survey Monkey for conducting surveys, DropBox for storing data and MS Excel for an overview of existing and potential members, partners and collaborators of Polaris Stichting.

Polaris Stichting does not use technical, functional cookies as well as analytical cookies.

Automated decision-making
Polaris Stichting does not make decisions based on automated processing on matters that can have (significant) consequences for people. These are decisions taken by computer programs or systems, without a person being involved.

Sharing personal data with third parties:
Polaris Stichting will not sell your information to third parties and will only provide this information if this is necessary for the execution of our agreement with you or to comply with a legal obligation.

Withdrawal of consent to personal data processing and the right to view, modify and delete data:
If you have a relationship with our organization, you have the right to view, correct or delete your personal data. You also have the right to withdraw your consent to the data processing any time by opting-out or the right to object to the processing of your personal data by Polaris Stichting. Moreover, you have the right to data portability. This means that you can submit a request to us to send the personal information we hold to you or another organization mentioned by you in an electronic file.
You can also exercise your right to be forgotten. In such case Polaris Stichting will destroy all your personal data that it processes. Exception is cases when the processing is performed on the basis of a statutory obligation or for a legitimate interest of Polaris Stichting.
